A single binder for every bottle on site

Think of an SDS binder as the paperwork twin of your supply shelves. Every cleaning or maintenance product on site has a safety data sheet, and the binder keeps all of them together: the jug of floor finish on the janitor closet shelf, the glass cleaner on the cart, the degreaser in the shop and the spray bottles under the breakroom sink. Gathered behind one clear cover with an index up front, those sheets stop being a scattered stack and become something a shift lead, a temp worker or an outside contractor can open and use.

The download has three parts: the front sheet, a lined product list and a short checklist covering dividers and upkeep. It organizes the sheets you already have. Your employer’s hazard-communication program is what settles the workplace’s own needs, and the colleague in charge of it is the right person to sign off on how this binder is laid out.

The cover answers the first question

Anyone who picks up the binder first wants to know whether it is the right one. The cover tells them. Fill in the Facility name, the Binder location, the spot where any Second copy is kept, who the binder is Kept by, the Program contact who answers questions about it, and the Last reviewed date.

Describe the Binder location the way you would explain it to a visitor on the phone: custodial closet, ground floor, shelf to the left of the door. A warehouse or campus with a shop, a dock and an office wing may keep a second copy closer to the products used out there, and the cover is where that second spot gets written down.

Index the products the way we quote a building

Our quotes start with the rooms rather than the square footage, and an SDS index comes together best the same way. Walk each space with the printed index in hand: restrooms, breakroom, custodial closets, the shop or maintenance room, the loading area and any greenhouse or packing space. Add one line for every product you find, including the half-full jug at the back of a shelf.

Five headings run across the index. Under Product name, copy the wording on the container exactly. Maker is whoever manufactured it, as shown on that same container. Room or area records where the product is stored or used. Sheet date is the date printed on its safety data sheet, which makes an older version easy to spot later. Tab points to the divider holding that sheet.

Once the walk is finished, set the index beside the sheets you hold. A product with no sheet goes on a short list for whoever buys supplies, because the maker or the supplier is the usual place to ask for a copy.

Choose one tab order and keep to it

Three tab orders work well. The right one depends on how people in your building go looking for a product.

  • By letter: A to Z by product name. Quick to keep up, and natural for anyone who reads the label first.
  • By room or area: one divider per space, matching the Room or area column. Useful where a shop, a warehouse floor and an office wing each stock their own products.
  • By product type: restroom products, floor chemicals, glass and surface sprays, and shop or maintenance items. Handy when the same handful of products shows up in nearly every room.

Whichever you pick, fill in the Tab column on every line and label the dividers to match. Switching systems halfway through is how a tidy binder slides back into a pile.

A fixed home and three moments to update

Keep the binder near the products and within reach of your staff and our crew, the same point our guide to cleaning, sanitizing and disinfecting makes. A shelf inside the custodial closet, a hook by the shop entrance or the wall beside the supply cage all work, as long as the spot never moves.

  • A delivery brings an unfamiliar product: write its index line and slip its sheet in place on delivery day, not at the next review.
  • A product leaves the shelves: remove its sheet, draw a line through its entry and date the change.
  • Your review date comes round: walk the rooms against the index, then update Last reviewed on the cover.

Pick a review interval that matches how often your product list changes and put the next date on a calendar, so the third update happens even in a busy month.

Where Loom Janitorial fits

Our crews clean restrooms, breakrooms, floors and shared spaces on recurring evening or daytime visits, and they share your closets and supply rooms with your own staff. A binder in a fixed, labeled spot means everyone working in the building knows where to look, whichever team is on shift.

Setting up janitorial service? We begin with a free walkthrough of the building, room by room, and follow it with a written quote. Once visits are running, supervisors carry out quality inspections. Request a quote and tell us about your facility.

A few useful answers

Common questions

What goes on an SDS binder cover?

The facility name, where the binder lives, where any second copy is kept, who keeps it, who answers questions about your program and the date it was last reviewed. The printable cover has a blank field for each one.

Is it better to tab an SDS binder by letter or by room?

Both work. Letter order suits buildings where people search by product name, while sorting by room or area suits a site whose shop, warehouse and offices each stock their own products. Choose one, label the dividers to match and use it on every index line.

How can I tell if a sheet in the binder is out of date?

Check the Sheet date column against the date on the maker’s current sheet whenever you restock or review the binder. If the maker has issued a newer version, swap the old sheet out and update that index line.

Where should the SDS binder be kept?

Close to where the products are stored, in a spot your staff and your cleaning crew can both reach, and in the same spot every time. Write that location on the cover so a newcomer can find it.

Does the SDS binder kit cost anything?

No. The cover, the product list and the checklist download as a plain PDF along with an editable Word version, with no form in the way. Print extra product-list pages for a big building.
