Portfolios that stretch across a map

A regional FM contract in the West rarely stays inside one metro. Your list might hold an office suite in Sacramento, a retail pad in Modesto, a clinic in Santa Rosa and a distribution building in Sparks, each one hours from the next. If you manage buildings like that for a national or regional portfolio, Loom Janitorial offers a single cleaning vendor for the lot. Your firm can sign with Loom itself, with nobody in between.

Loom’s footprint runs across Northern California, the Central Coast and the Reno and Carson City area. Inside it the property mix changes from valley to valley: professional offices and multi-tenant towers, medical and veterinary suites, banks and credit unions, schools and daycares, warehouses and food plants, wineries and breweries, hotels and shopping centers. Each one can get a task list written for its own rooms and hours, whether it sits downtown or at the end of a county road.

That breadth is the point for an FM firm. Instead of sourcing a different cleaner in every county, your coordinators can send Sacramento Valley, Bay Area, Central Coast and Nevada tickets to the same company and the same account manager.

Vendor setup: packet, coverage and crews

Vendor setup with Loom begins when you ask for the packet on our contact page. Loom’s operations team answers that request by emailing the vendor packet straight to you.

Insurance paperwork is quick. Loom issues its certificate inside 1 business day, and the FM firm plus the client it represents can both be named as additional insured whenever you ask. Behind the certificate: general liability with a $1M per-occurrence limit, a $2M aggregate, umbrella coverage stacked above both, and workers’ compensation for Loom staff.

No Loom cleaner starts at a client location until a background check has cleared. Crews wear Loom uniforms on every shift. Secure buildings with controlled floors often want more, and where a site requires added screening, a badging process or an escort, Loom follows that rule as written.

How Loom handles a ticket

Tickets reach Loom through the work-order platform your company specifies. No second portal is needed on your side; status changes and closeouts are entered right where your dispatchers already look.

Every ticket’s not-to-exceed (NTE) amount is a line Loom does not cross on its own. If the work needs more than the limit allows, Loom puts the higher number in front of you and waits for approval before spending it.

Anything urgent hears back from Loom on the day it’s raised, and urgent calls are taken through evenings and weekends.

Records you can hand to your client

At each building on your account, on every visit, crews put their arrival time and departure time on record. Each building ends up with a running attendance history.

When Loom wraps up an urgent call or a one-time project, photos or a completion note follow. On recurring work, Loom supervisors keep up their quality inspections, and the reports or scores are shared with you.

Together those records let you answer an owner’s question about any building without a drive to see it, which matters most when the property sits several hours from your regional office.

One account, many addresses

Each FM company gets a single named Loom account manager responsible for its entire list, Redding to Nevada. Should that account manager be out of reach, Loom’s operations manager is the second contact for escalation.

Loom can bring several buildings in different cities onto the account at once and keep all of them on a shared schedule. Billing comes either per site or per ticket, with each Loom invoice naming the location and carrying the work order number for your payables staff.

Work you can assign to Loom

The recurring core is janitorial service after hours plus office cleaning, while day porter service covers daytime restrooms, lobbies and spills.

Project and periodic tickets include floor care, hot-water carpet extraction, restroom deep cleaning, tenant turnover cleaning and post-construction cleaning.

Business parks, medical offices and industrial and warehouse buildings each get a routine built for their rooms.

Starting with Loom

On a new building, Loom usually tours the site within 2 business days, and cleaning normally begins within the week. When several sites come over together, Loom books the walkthroughs in whatever order you set.

Send the list of cities your buildings are in with your packet request, and your account manager follows up to schedule the walkthroughs.

A few useful answers

Common questions

Can one Loom contract cover buildings in both California and Nevada?

Yes. A national or regional FM company can sign with Loom directly and place sites anywhere in Loom’s service area under one account manager.

Does Loom name our client as additional insured?

Yes, on request. Your company and its client both go on the certificate, and Loom sends it within 1 business day.

Will Loom go past a ticket’s not-to-exceed amount?

Not without your approval. If the job needs more than the limit, Loom asks you first.

What arrives once an urgent Loom job is done?

Loom emails photos or a short completion note for that ticket, and the same goes for any one-off project.
